First PO Readiness Checklist for Apparel Brands
A checklist of the inputs to prepare before issuing a first purchase order: tech pack, BOM, size chart, color standard, quantity, price, testing, labels, and packaging.
Introduction
A first purchase order fails or delays when the brief is incomplete. This checklist organizes the inputs a brand should confirm before issuing a PO, so the factory can sample, cost, and schedule accurately without guessing.
What to Prepare Before Issuing a PO
Tech pack — sketches, measurements, construction notes, and any reference sample.
BOM (bill of materials) — fabric composition, GSM, thread, and trim details.
Size chart — the measurement table and the size range to be produced.
Color standard — the approved color reference and how many colors are included.
Target quantity — per style and per color, even if indicative.
Target price — the cost you need the order to land within.
Testing requirements — any shrinkage, colorfastness, or pilling requirements and their test method.
Labels — main label, size label, and care label artwork and wording.
Packaging — hangtag, polybag, or box requirements.
Launch date — the date bulk goods must arrive.
Approval Gates
Name the person who approves each stage. Typically the same product lead approves the sample and then the pre-production (PP) sample, and their approval is what releases bulk. Without a named approver, sign-off can stall.
Sample and Production Approval
Confirm the sample approval and the PP approval as distinct steps. The sample confirms fit and construction; the PP sample confirms the bulk fabric, trims, and finishing. Record both approvals before bulk begins.
